Custom ERP or CRM, or off-the-shelf? A practical way to decide
Off-the-shelf software gets you moving quickly. Custom software fits your way of working. Neither is always right, so here is a practical way to decide.
Five questions to ask
- Does the tool match your workflow? If your team keeps working around it with spreadsheets, that is a signal.
- How many systems must it talk to? Heavy integration with e-commerce, inventory, billing or other internal tools often favours a custom layer.
- What will it cost at scale? Per-seat pricing can grow quickly as your team does. Compare the three-year cost, not the first month.
- Who owns the data and the roadmap? Custom systems give you control. Packaged tools change on their vendor’s schedule.
- How fast do you need it? If you must start next week, begin with an existing tool and learn what you really need.
The hybrid option
You do not have to choose one extreme. A common approach is to keep a platform such as Salesforce or HubSpot for what it does well, and add a custom layer for the processes that make your business different: approvals, inventory rules, multi-role dashboards or client portals.
When custom wins
Custom tends to pay off when your process is a competitive advantage, when you need several systems to share one source of truth, or when you are building a product that other businesses will use, such as a multi-tenant SaaS platform.
If you are weighing this up, we are happy to talk through your workflow and give you an honest recommendation, even if the answer is “buy”.
